Print workflow software

Print workflow software that runs the whole shop

InfusePrint is print workflow software for offset and digital print shops. Each job moves from quote to invoice as one record: it routes itself to the departments it needs, takes its place on each production board, and keeps the customer’s tracker current, with no paperwork and no manual steps in between.

One job, start to finish

Follow a single job through the shop

The product tour covers each feature. This is print shop workflow software seen through one job: who sees it, what happens by itself, and what the customer sees.

  1. 1Quote

    Your team
The estimator picks product, stock and quantities; the layout engine imposes the job.
    Automatically
Paper, press time and finishing are priced from the layout, with cost, suggested price and profit per press-hour on every quantity.
    Your customer
A price built from how the job will actually run.

  2. 2Customer approves

    Your team
The quote goes out as a proposal email. Once the customer accepts, it becomes the job, carrying every spec forward.
    Automatically
The job is routed only to the departments it needs, and gets its own tracker link.
    Your customer
Accepts on a proposal page with no login, and pays by card through Stripe on the same page when your payment terms call for it.
  3. 3Proof

    Your team
Prepress sends the proof, or an API automation sends it.
    Automatically
The answer is recorded on the job. Approval moves the card on; a change request sends it back with the customer’s notes.
    Your customer
Approve or request changes from the email link, on a phone or a computer.

  4. 4Prepress board

    Your team
Prepress sees every job waiting on them, in run order.
    Automatically
The order sets itself from due date, print date and factors such as rush status, weighted the way your shop prefers.
    Your customer
The tracker shows the job moving into production.
  5. 5Press board

    Your team
Each press has its own board on a wall TV, with due, overdue and hours queued. Operators tap Start and Complete.
    Automatically
Runs are timed, and those times calibrate future estimates.
    Your customer
Each step on the tracker updates as the operator taps it.
  6. 6Bindery

    Your team
The bindery board shows one column per machine, each job colour-coded by how close it is to due.
    Automatically
Finished press work lands here on its own. Jobs with no bindery work skip it.
    Your customer
The tracker keeps pace with every finishing step.
  7. 7Ship or pickup

    Your team
Box count and weight are estimated from stock and size. A label agent on the API can print UPS labels.
    Automatically
Tracking flows to the tracker; pickup jobs get a ready-for-pickup email.
    Your customer
Tracking or a pickup notice, and a one-click Reorder button in the email.

  8. 8Invoice

    Your team
Invoice from the finished job; integrates with QuickBooks Online.
    Automatically
What you bill matches what you quoted and produced, without retyping it.
    Your customer
Pays by card through Stripe, if your shop takes cards.

Print workflow automation

What moves without anyone touching it

Good print workflow automation software takes the walking, the paperwork and the “what’s next?” out of the day. Once your shop is set up, these run on their own.

  • Routing. A job automatically skips departments it doesn’t need, so each board shows only work that belongs there.
  • Board order. Every board orders itself from due date, print date and factors such as rush status. You choose how those weigh against each other.
  • Optimized mode. Group jobs the most efficient way to run them, by press sheet size and stock type, to cut changeover time.
  • Hand-offs. Complete a job on one board and it appears on the next.
  • Customer updates. The tracker updates itself at every step, so nobody has to call the customer back with a status.

Prepress automation

Connect your RIPs through the API

InfusePrint isn’t an artwork or prepress editing tool, and it doesn’t replace your RIP. It gives your prepress setup the job details it needs.

  • Using the open API, a shop can set up automations that read the full job details and route files through its prepress RIPs via hot folders.
  • Proofs dropped into a folder can be picked up automatically and sent to the customer for approval, so the job lands in the proof column without anyone touching it.
  • Your shop sets these up through the API with scoped keys; they aren’t a built-in button.
  • The read-only AI connector lets AI assistants such as Claude, ChatGPT, Gemini and Grok answer questions about the same jobs, such as which proofs are still waiting. It can’t change anything.

FAQ

Print workflow FAQ

What is print workflow software?

Software that moves each job through a print shop’s stages (quote, proof, prepress, press, bindery, shipping and invoice) so every department works from the same job and the next step happens without paperwork. In InfusePrint it is part of the print MIS.

Does every job go through every department?

No. A job automatically skips departments it doesn’t need. A flat job with no bindery work never lands on the bindery board.

How is the order on each production board decided?

Automatically, from a combination of due date, print date and other factors such as rush status, weighted to your shop’s preference. An optimized mode can instead group jobs the most efficient way to run them, by press sheet size and stock type, to cut changeover time.

Can a job run from quote to invoice with no paperwork?

Yes. A job can flow from end to end with no paperwork and no manual steps. Operators tap Start and Complete on the boards, and the job moves on to the next department by itself.

Does InfusePrint edit artwork or replace our RIP?

No. It isn’t an artwork or prepress editing tool. Through the open API, a shop can set up automations that read the full job details and route files through its prepress RIPs via hot folders, and pick up proofs dropped into a folder and send them to the customer for approval. These are set up through the API, not a built-in button.

What does the customer see while the job is in production?

A tracker link with no login, showing the expected-by date, the production steps and a timeline. It updates as the job moves across the boards. Proof approvals and ready-for-pickup notices arrive by email.

What does it cost?

$1,000 per month per shop, with every feature included, plus a $1,500 one-time onboarding fee. Month to month, cancel anytime. See pricing.
